NDIS Plan Management

What NDIS plan managers do, the current fee items, and how plan management is claimed.

A plan manager is the bookkeeper of a plan: they receive provider invoices, pay them through the NDIS portals, keep the records, and report back so you always know where the spending sits. Plan-managed funding keeps provider choice open - registered or unregistered - while taking the administration off your desk. Part of the role, in the NDIA's own definition, is building your confidence to manage funding yourself.

Plan management is one of the services where provider registration is mandatory: every plan manager must be registered with the NDIS Quality and Safeguards Commission and recorded against your plan. The catalogue prices the service as a flat monthly fee item - notably without remote loadings, the same figure nationwide - and a separate capacity-building item exists for training in self-management. Both are tabled below.

Does the NDIS fund plan management?

The NDIS funds supports it decides are reasonable and necessary for your goals. The same item can be approved for one participant and not another, so no list or website can tell you what your plan will include.

Plan Management appears under Improved Life Choices (Capacity Building) in the current NDIS Support Catalogue. Whether plan management supports can be claimed depends on your individual plan, your goals, and how your funding is managed. Your plan manager or support coordinator can confirm what applies to you.

If you intend to claim, check with your plan manager or support coordinator before purchasing.

How plan management is claimed

Supports are billed against the item codes above, at or below the price limit, under a service agreement that records the agreed price, how provider travel is charged, and the cancellation terms. Invoices quote the item code, the date, the quantity, and the rate - which is what plan managers check before paying.

How your plan is managed - self-managed, plan-managed, or agency-managed - changes who you can buy from and how invoices are paid. Your plan documents state which applies to you. Agency-managed participants generally need to purchase through registered NDIS providers. Self-managed and plan-managed participants can buy from any suitable supplier.

Claiming rule What the Pricing Arrangements say
Provider travel time Up to 30 minutes each way per worker in MMM 1-3 areas; up to 60 minutes in MMM 4-5; no time limit in Remote (MMM 6) and Very Remote (MMM 7) areas.
Travel price limit Travel time is claimable at up to 50% of the item's hourly price limit, plus non-labour costs (e.g. per-kilometre vehicle costs) per the PAPL worked examples.
Short-notice cancellation Notice window: 7 days for disability support worker supports; 2 clear business days for other supports. A late cancellation or no-show can be billed at up to 100% of the agreed fee if the provider could not find other billable work (and pays the worker); providers may waive the fee. Terms must be documented in the service agreement.
Remote loadings National price limits carry a 40% loading in Remote (MMM 6) areas and a 50% loading in Very Remote (MMM 7) areas, as the loaded columns in the rates table show.
Portal payment timing The NDIA usually pays correctly lodged claims from a recorded "my provider" within 2-3 business days; claims from unrecorded providers trigger an SMS to the participant to accept or decline first.

Provider registration

Plan management sits in registration group 0127 (Management of Funding for Supports in Participants' Plans). Registration with the NDIS Quality and Safeguards Commission is mandatory for plan management services - a plan manager cannot operate unregistered, and yours must be recorded as a provider for your plan.

Invoices and agreements for plan management

Two documents carry the admin: the service agreement sets the price, travel billing, and cancellation terms before supports start, and the invoice quotes the item code and rate so the claim goes through first time.

Find plan management providers

The provider directory is where our provider coverage lives, organised by service and state. Whoever you shortlist, verify their registration status on the NDIS Commission's public register before signing an agreement.

NDIS plan management FAQs

What does a plan manager cost under the NDIS?

The catalogue prices plan management as a flat monthly fee item, shown in the table above - one of the few items with no remote loading, so the figure is the same nationwide. The fee is funded in addition to your other supports when plan management is included in a plan.

Does a plan manager have to be registered?

Yes, without exception - plan management is on the list of services where NDIS Commission registration is mandatory, and your plan manager must be recorded as a provider for your plan. You can confirm any plan manager's registration on the Commission's public register before signing an agreement.

Can I still choose unregistered providers if I am plan managed?

Yes - the NDIA's own guidance is that plan-managed funding lets you use registered and unregistered providers alike; the registration requirement applies to the plan manager, not to the providers they pay. That provider breadth is the practical difference between plan-managed and NDIA-managed arrangements.

How is plan management different from self-managing?

Self-managing means you pay providers and keep the records yourself, with the widest pricing freedom. Plan management delegates that work to a registered intermediary for the tabled monthly fee, while keeping provider choice open. There is also a catalogue item, tabled above, for training that builds self-management skills.

How quickly do providers get paid?

Through the portals, correctly lodged claims from recorded providers are paid on the timeline in the claiming notes above. A good plan manager turns provider invoices around on a similar rhythm and reports the spending back to you - ask about their turnaround and reporting cadence before signing.
